Introduction

In this project, I tackled the challenge of designing a user-friendly and efficient
platform to manage office communication and meeting spaces. My goal was to
develop a system that enhances the coordination and scheduling of meetings, ensuring a smooth and productive workflow for employees.


Challenge: The primary challenge was to integrate meeting room scheduling and office communication into a cohesive and intuitive user interface. The platform needed to accommodate various user needs, including booking meeting rooms, managing shared resources, and facilitating internal communication, all while maintaining a seamless user experience.


My Role: As the product designer, I was responsible for every aspect of the design process, from initial user research and ideation to the final implementation and testing of the user interface. My responsibilities included user research, wireframing, prototyping, and creating a visual design that aligns with the brand identity.

Discover: Conducted user interviews and surveys to understand the pain points and requirements of office employees and managers.

Define: Created personas and user journey maps to outline the core functionalities and user interactions required for the platform.

Ideate: Brainstormed and sketched multiple solutions to address the key challenges identified during the research phase.

Design: Developed wireframes and high-fidelity prototypes to visualize the final solution, iterating based on user feedback.

Simplifying Office Communication and Meeting Space Management

UX challenge

Creating a seamless digital platform for office communication and efficient meeting space management.

Mind map

To visualize the various components of the system, I created a mind map that detailed the relationships and hierarchies between different features and functionalities.
This helped in defining the scope and prioritizing the features that would deliver the most value to the users.

Flowchart

A flowchart was developed to map out the user journey for booking a meeting room. It outlined the different steps and decision points that users would encounter, ensuring a logical and intuitive flow. This visualization was crucial for identifying potential usability issues early in the design process.

User journey map

I constructed a detailed user journey map to highlight the various touchpoints and interactions users would have with the platform.
This map helped in understanding user needs at each stage of their journey and informed the design of features that would provide a seamless experience.

Wireframe

To validate the initial design concepts, I created low-fidelity wireframes that outlined the basic structure and layout of the platform. These wireframes served as a blueprint for developing the visual design and were tested with users to gather feedback and make necessary adjustments.

With the structure defined, I moved on to high-fidelity prototypes, incorporating brand colors, typography, and interactions. These prototypes were used for usability testing to ensure that the final design was not only visually appealing but also highly functional and user-friendly.

The final design offers a comprehensive solution for managing office communication and meeting spaces. Key features include:


Meeting Room Booking: A streamlined process for reserving meeting rooms, integrated with a calendar view for easy scheduling.

Resource Management: A system for managing shared office resources, ensuring availability and reducing conflicts.

Internal Communication: A dedicated space for team communication and announcements, fostering collaboration and information sharing.


Solution

The implemented solution received positive feedback from both users and stakeholders. It significantly reduced the time and effort required for booking meeting rooms and improved overall office productivity by simplifying internal communication.

The final screens demonstrate the clean and intuitive design of the platform. Each screen was carefully crafted to provide a seamless user experience, from booking a meeting room to managing office resources.

Conclusion

This project allowed me to showcase my skills in user research, interaction design, and visual design, resulting in a product that effectively addresses the challenges of office communication and meeting space management.
By following a user-centered design approach, I was able to deliver a solution that not only meets user needs but also enhances their overall experience.
